Customer Question

We are appointing independent sales agents to sell our products. We want to be able to give them a company email address so their emails are official but we want to be able to receive a copy of the emails they send as well as the inbound mail that we can set up forwarders for on our website hosting site. If we can do that we can check that no-one is using our address inappropriately! Could someone kindly advise how best to achieve the securest solution please.

Hi there Andrew and welcomeHow will they be sending and receiving the emails? Directly on the server via the webmail sign in?
Customer: replied 2 years ago.
Yes they could do that although webmail apps tend to be less easy than hotmail/gmail.... but if thats the only answer...yes

Ok, the reason I ask is if they access it this way then it is all dependent on the functionality your provider gives.I would advise you they use something like Gmail, then via the Settings, accounts and Import, you can set the email from the company to send the email as, and then use the domain name from your company. Now for sending, you cannot see this unless you sign into their account, there is no option to have it sent to the customer and to your Email every time, they need to do this.,But under Settings, Forwarding you can add a forwarding address so that any emails they receive will also be forwarded to an email address you specify so you can keep track of this. This is a construction you can set up for this. So an automatic forwarded for received emails and you would need to sign into their accounts and view the sent folder for the sent emails.

Sorry Richard, we understood that already. The problem then is that they are control, if they want to delete sent emails then they can and we won't know! Plus we have to sign into multiple accounts manually rather than flicking through one list of emails. Thats no good for us I'm afraid.

ok, but if your using an email system this is the only option you have, else you would need a Sales Content Management System such as Sales Force and customise this instead. But the solution I gave is the most control you can have over using an email system as you are.
